Work together in real-time with task assignment, activity tracking, comments, and collaborative note editing.
Kanman’s collaboration features transform your boards into shared workspaces where teams can coordinate effectively. From assigning tasks to specific team members, to discussing work in context, to editing notes together in real-time, everything happens where the work lives.
Unlike tools that silo communication into separate channels, Kanman keeps all context attached directly to tasks and projects. When you discuss a task, the conversation stays with that task. When you assign someone, everyone sees it immediately. When you edit a note, others can watch and contribute in real-time—no refresh required.
Task Assignment
Assign tasks to specific team members so everyone knows who’s responsible for what. Assigned users see their tasks in filtered views, receive notifications about updates, and are accountable for driving work to completion.
Assigning a Task
- Open any task by clicking on it
- Look for the Assignee section (typically in the task header or sidebar)
- Click the Assign button or the current assignee indicator
- Select a team member from the dropdown
- The assignment saves automatically
Multiple Assignees
Tasks can have multiple assignees when work is truly shared. Each assignee receives notifications and the task appears in everyone’s filtered views.
Unassigning
To remove someone from a task:
- Open the task
- Click on the assignee you want to remove
- Click the X next to their name, or select “Unassign”
Filtering by Assignee
When you need to focus on a specific person’s work, use the assignee filter in the board toolbar. This is especially useful for:
- Daily standups - Quickly see what each person is working on
- Workload review - Assess who has capacity for new work
- Accountability - Track individual contributions

Using the Filter
- Open a board
- Find the Filter button in the toolbar
- Select one or more team members
- The board updates to show only tasks assigned to those people
- Click Clear to remove the filter
Activity Feed
Every task maintains a complete history of changes. The activity feed shows who did what and when, creating an audit trail that answers questions like “when did this status change?” or “who modified the description?”
What Gets Tracked

Viewing Activity
- Open any task
- Navigate to the Activity tab
- Scroll through the chronological list of changes
- Click on any entry for more details
Comments
Have discussions directly on tasks. Comments keep conversations in context, eliminating the need to hunt through Slack or email for decisions made about specific work items.
Adding a Comment
- Open a task
- Navigate to the Activity tab
- Find the comment input at the bottom
- Type your message
- Press Enter or click Send

@Mentions
Notify specific team members by @mentioning them in your comments:
- Type
@in the comment input - Start typing a name to filter the list
- Select the person from the dropdown
- They’ll receive a notification about your comment
Tip: @mentions work in both comments and task descriptions, so you can call attention to anyone from anywhere.
Editing and Deleting
- Edit: Click the edit icon on your own comments to make changes
- Delete: Click the trash icon to remove a comment you wrote
- Note: Edits and deletions are noted in the activity feed
Real-Time Sync
All changes synchronize instantly across all connected browsers. When someone updates a task, moves a card, or adds a comment, everyone sees it immediately—no refresh required.
How It Works
Changes broadcast instantly as they happen. This means:
- Card moves appear instantly for all viewers
- Status changes update on everyone’s board immediately
- New comments pop in as they’re posted
- Typing indicators show when someone is composing
Connection Status
A subtle indicator shows your real-time connection status:
- Green/Connected: Changes sync in real-time
- Yellow/Reconnecting: Temporarily disconnected, reconnecting automatically
- Red/Offline: Working offline, changes will sync when connection restores
Collaborative Note Editing
Notes support live collaboration. Multiple people can edit the same note simultaneously, seeing each other’s changes and cursors in real-time.
Active Collaborators
When others are viewing or editing a note, you’ll see their avatars in the editor header. Hover over the indicator to see who’s currently active.
Real-Time Cursors
Each collaborator’s cursor appears in a unique color with their name label. As they type, you see their changes appear character by character, just like in Google Docs.

Conflict Resolution
Conflict resolution is handled automatically. If two people edit the same paragraph simultaneously:
- Both sets of changes are preserved
- The result merges intelligently based on character positions
- No one loses their work
Presence Awareness
The collaboration system tracks who’s actively working:
- Viewing: User has the note open but isn’t actively editing
- Editing: User is currently typing or making changes
- Away: User has the note open in an inactive tab
Best Practices
Assignment Guidelines
- Single owner: Even with multiple assignees, designate one person as the primary responsible party
- Timely assignment: Assign tasks when they’re created or during planning, not after they’re overdue
- Reassign proactively: If you can’t complete a task, reassign rather than let it stall
Comment Etiquette
- Stay on topic: Keep comments relevant to the task at hand
- Use @mentions purposefully: Only @mention people who genuinely need to be notified
- Summarize decisions: When a discussion reaches a conclusion, add a summary comment
Collaborative Editing
- Communicate intent: If you’re making major structural changes to a note, let others know
- Save frequently: While auto-save handles most cases, major sessions benefit from explicit saves
- Resolve conflicts gracefully: If you notice competing edits, communicate with your collaborators
