Auto-Archive

Automatically archive completed projects to keep your workspace clean and focused.

Auto-archive automatically moves completed projects to trash after a configurable period, helping keep your workspace tidy.

How It Works

When enabled, auto-archive:

  1. Monitors projects with 100% completion
  2. Waits for your configured delay period
  3. Soft-deletes the project automatically
  4. Project goes to trash (recoverable for 40 days)

Enabling Auto-Archive

  1. Go to Settings > Preferences
  2. Find Auto-archive finished projects
  3. Toggle it On
  4. Set your delay (days to wait after completion)
  5. Save changes

Configuration Options

Delay Period

How long to wait after a project reaches 100%:

Setting Description
Minimum 7 days
Default 30 days
Maximum 365 days

Choose a period that gives you time to review completed work.

What Triggers Archive

A project is archived when ALL of these are true:

  • Progress is exactly 100% (all tasks done)
  • Last update was more than [delay] days ago
  • Auto-archive is enabled in your preferences

What Gets Archived

When a project is auto-archived:

  • The project is soft-deleted
  • All tasks within are soft-deleted
  • All subtasks within are soft-deleted
  • Everything goes to trash

Recovery

Auto-archived items work like any deleted items:

  1. Go to Trash
  2. Find the project
  3. Click Restore
  4. Project returns with all tasks

You have 40 days to recover before permanent deletion.

Preventing Archive

To prevent a project from being archived:

Method 1: Keep It Active

Make any change to the project:

  • Update the description
  • Add/complete a task
  • Edit a task

This resets the “last updated” timestamp.

Method 2: Add an Open Task

Add a task you don’t intend to complete:

  • “Review before archiving”
  • “Hold for reference”

The project won’t reach 100% so won’t be archived.

Method 3: Disable Auto-Archive

Turn off the feature entirely in Settings.

Best Practices

Set an Appropriate Delay

Consider your review cycle:

  • 7 days: Fast-moving projects, frequent review
  • 30 days: Standard workflow (default)
  • 90+ days: Long-term projects, infrequent review

Review Before Archive

Build a habit:

  1. Weekly: Check completed projects
  2. Export any needed data
  3. Let auto-archive handle the rest

Use Trash as Archive

Since trash retention is 40 days:

  • Archived projects stay accessible
  • Review trash periodically
  • Permanently delete when certain

When Auto-Archive Runs

The auto-archive process runs daily on our servers. Projects meeting the criteria are archived during this process.

Notifications

Currently, Kanman doesn’t send notifications when projects are auto-archived. Check your trash periodically if you want to review archived items.

Limitations

  • Only affects projects (not boards or tasks directly)
  • Requires 100% completion (all tasks done)
  • Cannot set per-project archive rules
  • No email notifications
